Color-Coding Ideas for Alpha-Numeric Systems

The most popular way to file is by person or company name. Typically, the 1st and 2nd letters of a person’s last name are color-coded using our bright, permanent color-coding labels. This breaks even large files down into easy-to-manage units, because only a few records within the file will carry the same color-codes. As a result, the search for a particular folder is fast and easy. Once you are at the location that holds the B-A color-coding, your search group is minimized to only a few records. And when a B-A file — for instance a file with the name Baker— is returned to its correct section, it will match other B-A records in the system. Re-filing errors are minimized because a mismatch stands out visually, for immediate correction. This combined ability to minimize search time and maximize re-filing accuracy is truly a great advantage to people who use a name-oriented filing system.

In alphabetic systems, the name is printed on a white Jeter name label located on both sides of the folder. A clear Mylar protection label is applied over the white label to keep it fresh and clean for the life of the folder.

Name labels should always be created with the last name in caps. The given name should be separated and in lower case letters. No punctuation is required.

Color-Coding Dates Can Add Efficiency. In some systems, it is advantageous to use a date code. Codes are available in a month, year or month/year combination to indicate the creation date of a file, the expiration date of a contract, or other date information your application may dictate. When inactive files are retired, date codes make the process simpler, faster, and far more accurate.

Color-Coded Labels Allow Further Classification And Faster Identification. Jeter offers color-coding labels in solid colors to indicate certain classifications or types of file folders. These labels are available with permanent adhesives for statuses that do not change. Or select labels with removable adhesives for statuses that do change.
